Job Description
Candidates must be a resident in Nebraska.
Seeking REMOTE administrative assistant (30 hours per week) for property management and bookkeeping services.
This will be a W-2 position, with Health Insurance provided.
• Maintain day-to-day relationships with tenants and troubleshoot tenant issues regarding rental and NNN payments. Assist in maintenance work orders and inquiries from Tenants, troubleshooting solutions with appropriate vendor, see resolution through to completion with minimal oversight.
• Prepare notices to Tenants regarding rent issues, including delinquent payments.
• Prepare and help process to completion vendor contracts as directed by the Property Manager.
• Obtain bids for property maintenance repairs and prepare spreadsheet and memo for Property Manager’s review.
• Assist assigned Property Manager in an administrative function to complete team projects in a timely manner.
• Assist in collecting and tracking COI, tenants and vendors; review COI’s for proper coverages/additional insureds.
• Ensure all move-in/move-out paperwork is completed correctly and has been approved by the property manager as well as entered into on-site property management software system.
• Partner with Property Manager to ensure that all fire life safety inspections and maintenance inspections are completed as required.
• Works with property manager to minimize expenditures, maximize revenues and adhere to budgeted cost parameters.
• Daily review and coding of vendor invoices, receivables.
• Coordinate document preparation and inter-office correspondence with Property Manager.
• Updating advertising websites such as Loopnet & CoStar, social media and other marketing tools.
• Editing photos and uploading to websites (you will have the opportunity to learn Wordpress).
• Other duties, as directed by ownership.
