Job Description

Under the direction of the Director of Conferences and Events, the Events Assistant will provide administrative support and coordination assistance for the Conferences & Events Department in organizing and managing special events. Responsibilities include supporting the Director and Event Managers in preparing for, managing, and evaluating special events, working with the Controller’s Office for processing registrations, donations, refunds, silent auctions, and other transactions, preparing and summarizing expenses and invoicing, processing invoices and p-card transactions, preparing pre-event materials and assisting with day-of operations, handling logistics related to speakers including accommodations and travel, collaborating to develop an annual calendar of events, managing new event requests and calendaring, managing and executing requests for MCLE and maintaining compliance with the State Bar of California, updating event forms and calendars, managing the department email account, and performing other related duties. The position requires a Bachelor’s degree or equivalent experience, minimum two years of event planning experience, knowledge of computerized databases, Excel, registration software, social media applications, and event planning software such as Cvent. Strong work ethics, communication skills, organizational skills, flexibility to work extended hours including evenings and weekends, and proficiency in MS Word, Excel, and Zoom are required. The role demands multitasking in a public environment with frequent interruptions and tight deadlines, good judgment, decision-making skills, and effective follow-up.
