Job Description

Scion Nonprofit Staffing has been engaged to conduct a search for an Executive Assistant for our client, a mission-driven nonprofit organization focused on environmental conservation and community engagement. This position is hybrid (4 days onsite / 1 day remote to start, moving to 3/2) based in Long Beach, California .

POSITION OVERVIEW:

The Executive Assistant provides high-level administrative and project coordination support to the Chief of External Affairs, ensuring seamless scheduling, communication, and departmental operations. This role serves as the right hand to a senior leader, coordinating internal and external priorities, managing confidential information, and contributing to the success of donor engagement and strategic initiatives. The ideal candidate is proactive, resourceful, and thrives in a fast-paced nonprofit setting.

RESPONSIBILITIES:

  • Provide comprehensive executive support, including calendar management, scheduling, and travel logistics
  • Manage expense reporting, reconciliation, and ensure compliance with internal policies
  • Support coordination of departmental meetings, donor engagements, and special events
  • Maintain organized systems for digital files, records, and confidential materials
  • Collaborate cross-departmentally to support communications, development, and outreach efforts
  • Anticipate needs and propose proactive solutions to optimize executive efficiency

QUALIFICATIONS:

  • Proven experience providing executive-level administrative support (nonprofit experience preferred)
  • Exceptional organization, communication, and time management skills
  • Strong proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, Teams)
  • Ability to manage sensitive information with professionalism and discretion
  • Skilled in expense tracking, scheduling, and coordinating multiple priorities simultaneously

COMPENSATION AND BENEFITS:

  • Pay Rate: $35–$40 per hour, commensurate with experience
